HUGHES-DILLARD ALUMNI CENTER USAGE GUIDELINES

ROOMS AND CAPACITIES
Kronzer Great Hall
- 250 guests: stand-up reception
- 200 guests: theater-style seating
- 100 guests: classroom style (10 eight-foot tables of 10 guests)
- 160 guests: banquet style (20 round tables of 8 guests)
- Podium, sound system and 2 wireless microphones are available
Reynolds Conference Room
- 14 guests: conference table
- Drop-down screen and dry-erase board available
Cole Drawing Room**

50 guests: seated on sofas, wing chairs, and folding chairs

40 guests: stand-up reception
-
32 guests: banquet style (4 round tables of 8 guests)
**(Cole Drawing Room furniture is not to be moved)
McCall Reading Room
BUILDING USAGE AND SET-UP/LABOR FEES**

$100 usage fee for Reynolds Conference Room or McCall Reading Room

$150 usage fee for Cole Drawing Room

$300 usage fee for Kronzer Great Hall

Additional $100 for set-up, labor, and housekeeping
**(There are no exceptions for this fee. It must be applied.)
BUILDING RULES
1. Reservations shall be made through the alumni association office. Completion of a reservation form is necessary for confirmation of date. Reservations may be made up to six months in advance of an event or at the discretion of the reservationists or executive director. There are no refunds on canceled reservations.
2. Building usage fees and set-up/labor charges must be paid at the time of booking your event. If you do not pay up front, your event will not be placed on the calendar. Payment must be made by check or credit card. We accept Visa, MasterCard, Discover, American Express, and the Baylor Purchasing Card. Held dates are not guaranteed until paid in full.
3. Hughes-Dillard Alumni Center hours are: M-F, 8:00-5:00; summer 9:00-5:00.
4. You are free to use an outside caterer of your choice. If you would like to use ARAMARK, Baylor Dining Services, however, you can click on the previous link or reach them at (254) 710-1721.
5. A sound system with two wireless microphones is available. A projector, laptop, or DVD player will not be provided by the alumni association, but guests are welcome to bring their own projection equipment. Additional audiovisual needs must be arranged through Baylor A/V Services at (254) 710-4209 or by e-mail at audio_visual@baylor.edu. Please note that additional fees will be incurred for use of equipment by A/V Services.
6. Access to other areas of the Baylor Alumni Association is prohibited.
7. Decorations:
- Allowed: table-top decorations, free-standing floral arrangements, banner/signs displayed on easels.
- Not Allowed: glitter and confetti tape, nails, or tacks used to hang banners or signs on the wall.
8. It is your responsibility to remove all decorations, floral arrangements, banners, signs, and additional equipment from the building immediately after your event has ended.
9. If candles are used, they must be contained in votive holders. If wax is spilled on the furniture or flooring, an additional fee will be assessed for removal.
10. Any damage incurred during the event will result in the billing of additional charges as damages are assessed. Damage includes but is not limited to sound system, tables, chairs, flooring, walls, piano, restrooms, etc.
11. The piano in the Kronzer Great Hall may not be moved without previous arrangements for professional assistance. If professional assistance is required, additional fees will be incurred.
12. No alcohol, tobacco, drugs, or firearms are allowed on the premises at any time.
13. The Baylor Alumni Association reserves the right to decline or cancel any request on a case-by-case situation and the right to discontinue future use of the facility for noncompliance of general use guidelines.
14. There may be no loitering outside the building. You are responsible for keeping your guests inside.
